Optional organizations let a workplace share sender seats and a shared request pool under one company. Solo accounts stay solo if that is all you need.

New teams for schools, law firms, and companies are set up through a quote or a Team plan. Solo Free / Personal / Pro accounts do not see Team in the sidebar and cannot create an organization. With Team entitlement (or after you join via invite), open Team to manage people.

What an organization is

An organization is a team you opt into when more than one person needs to send under the same company.

If you only send for yourself, you do not need a team.

Roles and seats

Two ideas stay separate:

IdeaMeaning
RoleWho runs the team.
Sender seatWho may create signature requests.

Roles

  • Owner — one per organization. Adds people, assigns seats, optional per-person caps, and can act on team requests when needed (for example Void or Correct). Handles billing when billing is live.
  • Member — everyone else on the team.

Sender seats

A sender seat turns on send for one person. Recipients who only sign do not use seats.

  • The Owner can also hold a seat. A small startup Owner usually keeps a seat so they can manage and send.
  • A Member sends only when the Owner gives them a seat.
  • An Owner without a seat can manage the team but cannot create requests.
  • A Member without a seat stays on the roster but cannot create requests (and does not see everyone else's team requests). New request stays off the menu until they have a seat. Opening create sends them back to Team, where the reason is on the page.

A seat is a slot the Owner turns on for a person. It is not a separate license code, and it is not a role. One person can be Owner and hold a seat at the same time.

While you are on a team and have a seat, new signature requests use the team request pool. A personal plan does not run beside that for sending.

Seat count and the shared request pool come from your plan or quote (or platform staff when seats are set up for you). The Owner does not edit the team pool size in the app.

Team request pool

On a team, signature requests share one request pool for the rolling period (commonly 30 days). The Team page focuses on people and seats; the pool is not the main headline.

  • Only requests tagged to the organization count. Sends you made before joining stay personal.
  • Pool size and seat limit are set with your plan or quote. Ceiling 1000 for the pool.
  • The Owner can set an optional personal cap on a seated person so one sender cannot use the whole pool.
  • Your old personal account quota does not apply while you are on a team. Templates are still free.

Create shows remaining when the team has a numeric pool or a personal cap.

See also Quotas and limits.

Plan on a team

The owner opens Team to see the plan and how many requests are left. A member sees the same line and does not change the plan.

When paid billing is on, Manage billing is on that page for the owner. Change plan switches monthly or yearly for the team plan. A higher billing period takes effect today. A lower one waits until the date shown. Cancel keeps the paid plan until the date shown there. After that date the team stays. The request pool drops to 3, one sender seat stays, extra people can no longer send, and waiting invites are cancelled. People stay on the roster.

A personal plan does not sit beside the team plan. If the owner still has a personal subscription, Team asks them to cancel that one before starting the team plan.

If a payment fails, nobody on the team can send a new request until the card is updated. Open requests can still be viewed, corrected, cancelled, or downloaded.

Adding people

The Owner invites teammates from Team by email. The invite reserves one sender seat until the person accepts, declines, the invite expires, or the Owner cancels.

They get an email with a link. They Accept or Decline after signing in (or creating an account with that locked email). Decline, expire, or cancel frees the seat right away. Resend sends a new link (about five minutes between emails to the same address).

If every seat is in use (including waiting invites), free a seat or ask us to raise the seat limit on your quote before inviting someone.

What stays personal

Your personal contacts and personal templates stay yours. Shared team templates, then shared contacts and groups, come later.

Requests on a team

When a seated member creates a request, it is stamped with the organization. Owners can open and act on those team requests. Members without a seat do not get the team inbox.

Leaving a team

If you are removed, you return to solo sending (Free plan limits until you buy a personal plan or join another team). Past requests you created stay on your account. In-flight signing links keep working.
